How Much Time Will Your Team Still Spend on Managed AI Marketing?

November 06, 2026•3 min read

Outsourcing marketing does not make your business knowledge appear automatically. A provider still needs accurate service details, approved claims, and decisions it cannot make for you. Before buying a managed AI marketing service, estimate the time your team will retain as carefully as you estimate the fee.

The aim is a smaller, clearer business role. If a plan still requires the owner to rewrite every page, gather every answer, and investigate every exception, it may not remove the work that caused the purchase. If nobody has time to review essential facts, even a well-run service can spend its first month waiting.

Count four types of client work

  • Initial fact gathering: locating current service information, useful photos, account owners, and real examples.
  • Business approval: confirming prices, coverage, qualification rules, and promises before they reach customers.
  • Routine review: examining proposed changes or results within the agreed scope.
  • Exceptions: answering questions that require judgment about a specific customer or unusual request.

Do not hide initial work inside the monthly estimate. A business with organized assets may start differently from one whose only approved service description is in the owner’s head. Ask the provider which inputs it can organize and which decisions require your direct involvement.

Build a realistic review-time estimate

Here is an illustrative workload, not a service promise. Suppose a month includes six items requiring approval, each taking ten minutes to examine. Add a thirty-minute results discussion and four exceptions taking five minutes each. That is 110 minutes of planned client involvement. Preparation, delayed decisions, and unusually difficult cases may add more.

Now test the estimate against the proposed process. Will six drafts arrive together on the busiest day of your month? Can one employee approve factual edits while the owner handles prices? Does the provider submit a decision-ready change, or expect you to locate every supporting fact? The same number of deliverables can create very different demands on your team.

  • Decision: Routine service fact; Primary reviewer: Service manager; Backup: Operations lead; If nobody responds: Keep current approved version

  • Decision: New offer or discount; Primary reviewer: Owner; Backup: Authorized commercial lead; If nobody responds: Do not launch the offer

  • Decision: Unusual prospect fit; Primary reviewer: Sales owner; Backup: Named senior colleague; If nobody responds: Hold for a person

Buy work that arrives ready for a decision

Ask for a sample review packet. It should show the proposed change, the relevant source, the reason for changing it, and the decision needed from you. That is easier to approve than a long draft with no marked questions. Agree on how unresolved comments are closed so the same issue does not return in every revision.

The SBA’s business-plan guidance includes explaining how a business will operate. Treat your retained review role as part of that operating plan. If you use shared files, Drive’s activity and version guidance can help maintain a record of the approved material.
