How Can an AI Agent Match Job Receipts to the Right Customer Project?

November 05, 2026•2 min read

A receipt photo can tell you what was bought without telling you where it went. A project expense agent can prepare candidate matches using the job number, purchase reference, crew assignment and receipt date. A bookkeeper still decides what belongs to a job and whether it is chargeable under the agreement.

Think about the lumberyard run

A remodeler buys fasteners for two jobs and a replacement drill for the company on one receipt. The purchase date matches both sites. A confident guess that assigns the whole receipt to one customer would be worse than a blank. Show the original receipt and line items, flag the split and ask the person who made the purchase for the allocation. Record their response beside the proposed assignment.

  • Give field staff an easy way to add a job number when capturing a receipt.
  • Present tax, discounts and returns for bookkeeper review if they affect how a split would be recorded.
  • Connect a second photo of the same receipt to the original review so staff can decide whether it is a duplicate.

Decide whether the work is worth delegating

For a week, count how many receipts arrive without job references and how many minutes the office spends chasing the answer. Test on one crew before extending it to the whole business. If recording a job number at purchase fixes most cases, do that first. If matching receipts across jobs still takes time, ask for a read only pilot that prepares a review list before any accounting entries are created.

For the next step, see how to send uncertain matches for a human review.

Put this into practice

Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
