An AI Agent for Invoice Exceptions Before Accounts Payable Review
A supplier bills for twelve fixtures. The purchase order lists twelve, but the receiving record shows ten. An invoice exception agent can assemble the three records and flag the two missing units. The accounts payable team decides how to resolve the discrepancy and who can release payment.
Define what counts as a match
Agree on the identifiers first: supplier account, purchase order, invoice number, line item, unit, and currency. Twelve boxes and twelve individual units can look identical in a number column. Set rules for freight, partial deliveries, and rounding in writing with the person who owns the payables process.
For each flagged invoice, ask the agent for a small evidence packet. It should contain the exact lines that differ, links to originals, the kind of exception, and the employee or department able to answer. If no receiving record is available, label it as missing evidence. A warehouse may simply be late entering a delivery.
Protect the approval line
Changes to supplier banking details, decisions about tax treatment, and release of funds belong with authorized staff under your existing controls. Give an early pilot read access to copies or an appropriately restricted queue. Keep sensitive payment details out of general notifications.
Test with a matched invoice, a partial shipment, a credit memo, and two suppliers using the same invoice number. Ask whether each result lets a reviewer take the next action without rebuilding the comparison. Count both missed discrepancies and unnecessary holds. A queue full of routine freight questions can waste as much reviewer time as the manual process it was meant to help.
Put this into practice
Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
