How Can a Print Shop Keep Track of Which Artwork Proof the Customer Approved?

November 05, 2026•2 min read

“Looks good” is an awkward production instruction when a customer has reviewed three files. A proof tracking agent can assemble the job, version and customer’s reply for prepress review. The most important question is whether permission applies to the file about to be printed.

Follow a revision through the shop

A client orders window graphics for two stores. They approve the front door design and ask for a larger phone number on the second graphic. Record one item as approved against its dated proof and the other as awaiting a new version. If the designer replaces a file at the same link, a thumbnail or saved version identifier helps the operator see what was actually reviewed.

Define what counts as permission to print

Give the team separate statuses for approved, changes requested and unclear response. A request for a small correction after approval should reopen only the affected item. List the contact allowed to approve that job or put an unfamiliar sender in a staff review queue. If the customer signed off on wording alone, keep the remaining production checks visible.

Ask a provider to demonstrate a forwarded reply about an old proof and a message approving one of two attachments. The system should be able to leave an item waiting. Measure how many jobs reach prepress without a verifiable version and how many phone calls the team needs to settle a routine approval. The operator releases the print job only after checking the final proof and required signoffs.

For the next step, see how to handle a customer revision that changes the approved scope.
