How to stop an AI integration from creating duplicate records
A customer clicking twice is only one source of duplicate work. A source application can deliver the same event again after a timeout. The destination may have already accepted the first request. Starting the whole sequence again could create a second order or send another confirmation.
Identify the event that already happened
For a service company, an approved estimate might create a work order. Give that approval a stable identifier from the source system, and record the destination work order against it. If the exact approval arrives twice, look up its recorded result. A new estimate for the same customer still needs a new work order, so using the customer’s email alone would block legitimate work.
Ownership matters when two copies arrive together. Ask the builder how the system reserves the identifier before performing the external action. A simple “look it up, then create it” sequence can still create duplicates if both runs look before either writes.
Test the moment after a successful write
In a safe environment, simulate the destination creating a work order but the integration losing its confirmation. The recovery step should look for evidence of the original action. If it cannot determine whether the order exists, route the case to an operator who can reconcile it before any retry.
Keep separate checkpoints for actions with different consequences. Saving a CRM note and sending an external email may succeed independently. The operator should be able to repair the missing note without sending another email.
At the end of the test, count source approvals and distinct work orders, then check a sample of the links between them. A matching total can conceal one duplicate and one omission. The link from each accepted event to its intended record provides stronger evidence.
