How to turn an employee handbook into a useful AI knowledge base

November 05, 2026•2 min read

Start with the questions employees actually ask. A folder of documents becomes useful when an assistant can locate the right passage for the right person and show where the answer came from. Pick a narrow area such as equipment requests or travel booking before expanding the pilot.

Turn one policy into a dependable source

Take a question like “Who approves an overnight trip?” The answer may depend on region, job level and trip purpose. Gather the current policy, its effective date, its owner and any approved local exceptions. If the handbook refers to an old travel form, ask the owner which instructions are current before including both documents.

Publish the approved version in a location the intended staff can already access. Preserve section titles and tables that connect conditions to approved actions. Give each policy a stable reference and a review owner. Label retired versions clearly and keep them out of current answers unless the user explicitly needs history and is allowed to see it.

Test what employees will actually receive

Have staff ask the same question with different wording. Also ask one question the material cannot answer. Inspect the response and the linked passage. If the passage lists only who approves airfare, an answer about hotel exceptions goes beyond the evidence. Route unresolved questions to the policy owner.

Keep a short list of unanswered questions, sorted by how often they occur and who could resolve them. This gives the team a practical editing queue. After changing a policy, repeat the affected questions and check the reference dates. Assign someone to retire obsolete answers when ownership changes. That upkeep is part of operating the assistant and needs time in the implementation plan.
