Buying Managed AI Marketing When Your Sales Take Months to Close
A business selling a large custom service may wait months between an inquiry and a signed agreement. That makes a simple monthly comparison of marketing fees and closed sales misleading. Recent inquiries have not had the same chance to become customers as older ones.
Before buying managed AI marketing, agree on how the service will be evaluated while sales are still developing. The provider should remain accountable for its agreed work. Your business should also avoid treating every unfinished buying decision as proof that the service has failed.
Separate three evaluation questions
Was the assignment delivered? Check whether the approved pages, campaigns, or inquiry process were implemented and verified. These are observable service responsibilities. A long sales cycle is not a reason to ignore broken forms, inaccurate facts, or work that was never completed.
Are appropriate prospects progressing? Examine whether inquiries fit the intended service and move into meaningful conversations. A request for a detailed estimate may be a useful step even when the customer has not yet made a purchase. Use your actual selling process rather than inventing stages for a report.
What business resulted once there was time? Review the older inquiry groups that have reached a reasonable decision point. Record wins, losses, no decisions, and still-open cases separately. Do not count every open opportunity as future revenue.
Create a cohort review sheet
-
Inquiry group: Recently received; Age at review: Early in your normal process; What to examine: Fit, contactability, useful next step
-
Inquiry group: In assessment or proposal; Age at review: Partway through the usual cycle; What to examine: Progress, blockers, reasons for delay
-
Inquiry group: Old enough for an outcome review; Age at review: Based on your historical cycle; What to examine: Won, lost, no decision, still open
Do not assign universal ages to the rows. Use the time your own customers normally need. A maintenance agreement, a commercial fit-out, and a consumer appointment have different buying patterns. Where history is weak, say so and agree on a provisional review date.
Write renewal decisions before the first invoice
Ask what evidence will justify continuing, changing, or stopping the assignment. For example, a review could establish that the buying path works and prospects fit, but the offer needs a clearer assessment step. That supports a specific adjustment. It does not automatically prove that increasing traffic is the answer.
Also define your sales team’s responsibilities. If proposals remain unanswered because nobody follows up, record that as a sales-process blocker. If the campaign consistently attracts requests outside the approved service, investigate the marketing promise. The purpose is to locate the problem accurately, not to protect either party from scrutiny.
Google Analytics attribution settings determine how reported credit is assigned over time. They are not a substitute for a record of real prospect progress. Use the SBA’s marketing planning guidance as a broader reference when connecting activities to business objectives.
