Dental Marketing When New Patients Keep Asking “Do You Take My Insurance?”

November 05, 2026•2 min read

A caller asks whether the practice “takes” a particular insurer. The front desk might hear a question about submitting claims. The caller might mean whether their exact plan is in network at that location. A website showing a row of insurer logos can attract calls while leaving that misunderstanding intact.

Write the public answer with the front desk

Ask the practice manager what staff can confirm from the information available and what must be verified individually. Keep any published plan list current and have the person responsible for payer relationships approve it. When participation varies by dentist, location or plan, tell visitors how the office confirms their situation. Avoid promises of reimbursement or individual benefits.

A useful booking invitation is, “New to our office? Call our front desk to check your plan and ask about the first available visit.” Keep administrative information in the public inquiry. Direct people to the practice’s approved intake process for policy or clinical details. The American Dental Association offers practice managers a guide to handling early patient calls. Read the ADA guide to prospective patient calls.

Measure the front desk outcome

During a defined review period, record aggregate counts for new patient requests, requests requiring plan verification, appointments offered and appointments accepted. Keep personal information out of your marketing worksheet. If one office repeatedly receives queries about a plan offered at a different location, fix that location’s page and booking link. If verified prospective patients still decline available times, investigate scheduling before spending more to bring in the same calls.
