How to compare AI implementation proposals on the same scope

November 05, 2026•2 min read

Two AI implementation proposals can carry different prices because they describe different jobs. One might deliver a demonstration with sample data. Another might include an integration, staff training and support for failures after launch. Give each provider the same short brief and ask for an itemized response.

Hand both providers one acceptance case

Consider a property services team that wants incoming maintenance requests organized. Supply a fictional message about water entering a ceiling, a second message about repainting a lobby and the current routing instructions. Ask each provider to show where the original message appears, who sees the recommended priority and what happens if the building cannot be identified. Leave room for a human to make emergency decisions using the team’s policy.

The answer exposes the actual scope. “Routes maintenance requests” could mean placing a category in a spreadsheet, creating a draft ticket or dispatching a contractor. Price comparisons only start to make sense after both vendors specify the same endpoint.

Compare the costs you will actually carry

Record setup, recurring management, expected software usage and staff time separately. Ask which changes are included in the ongoing fee. Adding a second property may be a configuration change. Connecting a different work order system may require another project. List who owns each account and how your team obtains the workflow documentation and its data if the arrangement ends.

Leave a blank column for exclusions. A vendor that identifies a dependency on a building directory is giving you a question to resolve before signing. During the final review, walk through one failed run and one exit scenario with each provider. Compare the promised response, the evidence of recovery and the responsibilities your own team would retain.

Put this into practice

Bring a sample of the work and the tools your team uses. We can help define a first project, who reviews it, and how to tell if it works.
