How to budget for an AI workflow when usage changes each month

November 05, 2026•2 min read

A monthly subscription can be predictable while the total cost of completing the work varies. Usage charges, storage, connected tools and human review may rise with volume. Ask for a budget that shows what happens in a quiet month, a normal month and a busy one.

Calculate cost per finished case

Use an illustrative document intake workflow. If 1,000 accepted cases in a month require $400 in fixed operating costs, $120 in usage and $230 in human review, the total is $750 or $0.75 per accepted case. Include failed attempts in the cost numerator even when they never become accepted cases. Otherwise a system that needs repeated attempts can appear cheaper than it is.

Separate unusually large inputs. A one page inquiry and a fifty page attachment may take different amounts of processing and review. Ask for the distribution across the work your company actually receives. If the provider gives only an average price, request an example invoice using your mix.

Set a spending response before the spike

Decide who receives an early warning, who can approve more spend and which lower priority work can wait. An urgent customer queue and a background archive cleanup may deserve different limits. A hard stop everywhere could protect the invoice while leaving a customer request unattended.

Repeat the forecast using a month with fewer completed cases. Fixed costs make the cost per case higher when volume falls. Compare that result with the cost of the manual process at the same volume. Bring both the expected monthly cost and the range of plausible outcomes to the buying decision. The team can then choose a scope that stays useful during quieter periods as well as peak demand.

Put this into practice

Bring a sample of the work and the tools your team uses. We can help define a first project, who reviews it, and how to tell if it works.
