What an AI workflow incident response plan should contain
Write the first page of an incident plan for the person on duty when the normal operator is unavailable. It should tell them how to recognize the problem, stop further actions and contact someone who can take responsibility. Keep the instructions in a place they can reach even if the workflow platform is down.
Rehearse a specific incident
Imagine an assistant starts attaching service summaries to the wrong regional queue after an account mapping changes. First pause the action that writes to the queue. Keep incoming requests in a controlled holding area if possible. Capture the last known correct result, the first suspected incorrect result and the configuration version. Restrict access to any affected customer information.
Identify records by stable case identifiers, not approximate time alone. Check each destination to see what actually happened. Someone may already have corrected a case manually. Replaying the whole batch could overwrite that work or repeat an external message. Assign an owner to reconcile the affected set and document uncertain cases separately.
Restart one controlled path
Correct the mapping, then test with an approved sample from each affected region. Have the business owner inspect the destination. Resume a small group first and watch the next handoff before reopening the full queue. Tell operators which items still need manual review and when to return to their usual routine.
After recovery, record the cause, how the team detected it and one improvement to prevent or shorten a repeat. A clearer branch identifier may matter more than a new alert. Run a tabletop exercise with a shift supervisor using the written plan. Where the supervisor cannot act without the original builder, add a contact, permission or instruction before the next incident.
Put this into practice
Bring a sample of the work and the tools your team uses. We can help define a first project, who reviews it, and how to tell if it works.
