How to Scope an AI Agent for RFP Response Preparation

November 05, 2026•2 min read

A request for proposals asks whether you support both weekend service and guaranteed weekend response times. An old proposal mentions weekend coverage. A hurried team could paste that wording into both answers and accidentally commit to a guarantee. An RFP preparation agent can separate the questions and identify what needs sign off.

Make the requirement matrix the deliverable

For each requirement, show the buyer’s exact reference, what they ask, the proposed source, the draft response, the owner, and open questions. Preserve requested formats and attachments. When a question contains two conditions, split them for review while retaining the original reference for the final submission.

In the weekend example, an approved service description may support the availability statement. A response time commitment needs verification from the person authorized to make it. Mark that part unresolved until they decide. An expired certification, policy, or customer reference should likewise stay out of the answer without current authorization.

Test retrieval and review separately

Give the agent a historical request whose winning or final response is withheld from the trial. Ask reviewers whether it found the correct current evidence and correctly identified missing evidence. A polished paragraph with no approved support should be easy to spot in the worksheet.

Keep the final response, pricing, commercial terms, and submission with authorized staff. Restrict reference libraries by customer where confidential information is involved. Start with the sections repeated across bids, such as service descriptions and implementation approach. Leave custom commitments in a clearly marked review queue so the proposal lead can spend time where their judgment matters most.

Put this into practice

Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
