Using AI to Reconcile Proof of Delivery With Customer Orders
A driver uploads a signed delivery slip. The order still shows as incomplete. The document could belong to a different stop, a split delivery, or a replacement order. An agent can organize proof of delivery for review if it ties the evidence to the right order lines and makes uncertainty visible.
Match by more than a customer name
Use the order or shipment reference, destination, delivery date, and quantities. Show which fields came from the original slip and which came from the order record. A chain with several nearby stores can easily have two similar deliveries on the same day.
Suppose the manifest lists six boxes and the signed slip shows five with a handwritten note. The agent can mark a quantity discrepancy, link the original image, and route the case to dispatch. It should preserve the handwritten uncertainty instead of guessing at an illegible word. The customer service owner decides what can be communicated externally.
Build a review queue with clear outcomes
Separate exact matches, probable matches needing confirmation, missing evidence, and customer disputes. Keep signatures and personal details inside the approved document store. A general notification can contain a case reference and a link for authorized staff.
Test examples from the same route where drivers visited different branches of one company. Include duplicate uploads and an arrival photo without a signed acceptance. Measure correctly matched shipments and incorrect closures separately. If mistakes cluster around one carrier’s reference format, address that specific mapping before broadening the workflow. The buyer should be able to explain how any delivery was linked and who resolved a conflict.
Put this into practice
Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
