Prepare Milestone Invoices With an AI Agent and a Human Billing Review
A project manager marks a design package complete on Friday. Finance needs to know whether the agreement allows billing on delivery or only after written acceptance. An invoice preparation agent can gather the relevant contract milestone and evidence so billing staff can make the decision.
Start from the signed billing schedule
Assign an identifier to each milestone and connect it to the approved contract version, relevant change orders, billing basis, and evidence requirement. Keep the project status separate from billing readiness. They often reflect different events and different owners.
Consider a fabrication project billed in stages. The production log shows the first batch finished, but the customer acceptance record covers only the sample. A useful draft shows both records and asks the project owner to confirm whether the batch qualifies. It leaves the invoice on hold until an authorized person resolves the gap.
Prevent duplicate or premature drafts
Compare proposed milestones with invoices already issued and drafts awaiting review. A milestone name may appear twice after a revision, so use the contract and milestone identifiers together. Keep the document links and unresolved items attached to the billing packet.
Try one standard milestone, one with a change order, one partially accepted, and one already billed. Have finance review the packet without being told which is which. Can the reviewer find the necessary evidence and stop an ineligible draft? A good pilot shortens evidence gathering while preserving the finance team’s responsibility for amounts, tax treatment, posting, and sending invoices. If the signed schedule is missing, fix that upstream first.
