How an Internal AI Help Desk Should Handle “Which Procedure Do I Use?”
An employee finds two instructions for reporting a damaged delivery. One is a current head office procedure. The other is an old local copy that still appears first in search. An internal procedure agent has to identify which document applies before offering staff a helpful answer.
Put scope on the document
Every procedure the agent can use should have a responsible owner, effective date, applicable teams or sites, and a link to the authoritative version. Archive superseded instructions where practical. Keep employee access boundaries intact so a general question cannot retrieve a restricted procedure.
For the damaged delivery, the correct route may depend on whether the supplier delivered directly or a company vehicle moved the goods between branches. Teach the workflow to ask that single clarifying question. Show the employee which procedure supports the answer and who to reach if the situation is unusual.
Give conflicting answers a destination
When two current sources disagree, the agent can collect the question and both excerpts for the policy owner. Ask the owner to reconcile the documents and specify when the change takes effect. A private correction to one generated answer leaves the next employee exposed to the same confusion.
Test with questions from new staff and veterans. New staff often lack the internal terminology used in the documents. Veterans may rely on unofficial exceptions. Count whether users reached the correct current source and whether the owner fixed the gaps the pilot found. That makes the service valuable even before you expand its coverage.
Put this into practice
Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
