Can We Automate Work Across Two Business Apps If One Has No API?

November 05, 2026•2 min read

A direct connection is only one option. First find out how information can leave the old system and how the receiving system accepts it. Ask the publisher whether your plan allows the proposed method. A sample export and a blank import template are more useful at this stage than a list of software names.

Work backward from the deadline

A small wholesaler needs tomorrow’s pick list in a packing app by 6 a.m. Its order system can export a nightly file. An implementation provider could map order lines into the packing app’s import format and deliver a review file for the supervisor. This has a clear limit. Orders added after the export need another run or a separate late order list. If the team must act within minutes, confirm whether the source can produce fresh data that often before commissioning the build.

  • Identify a stable order and line number in both systems.
  • Ask what happens if the file is missing, empty or already imported.
  • Request one working demonstration with a canceled order and a late addition.

Know what makes the quote expensive

A workflow that drives a screen needs maintenance when labels, login methods or page layouts change. Ask who fixes those changes and whether the team can still run the job manually. A staff member exporting one reliable file each evening may be a sensible first version. Compare its ongoing effort with the cost of fully unattended access. Bring both vendors’ documented import options to an AI implementation discussion.

For the next step, see how to compare a replacement tool with a custom connection.

Put this into practice

Bring a sample of the work and the tools your team uses. We can help define a first project, who reviews it, and how to tell if it works.
