Prepare Customer Returns for Review With a Managed AI Agent
A customer emails, “The blue one arrived scratched.” That message tells a support representative there is a problem, but it identifies neither the line item nor the remedy the buyer wants. An agent can turn the conversation into a return request that staff can actually review.
Start with the minimum facts
Define which items require a photo, which need a serial number, and when an order reference is enough. If the customer ordered three blue items, show a human the matching candidates or ask for the model name. Avoid requesting a photo of an entire invoice when a line number will do.
For the scratched item, a useful draft packet contains the exact line, reported condition, evidence supplied, delivery date on record, and whether the customer prefers replacement or refund. Keep “customer requests a refund” separate from “refund approved.” Where eligibility depends on a policy, include the applicable version and pass exceptions to an authorized person.
Inspect the edge cases
Try a gift purchase, a split shipment, an expired policy that was valid on the purchase date, and a request containing two different products. The agent should maintain separate decisions for each item while preserving one conversation. Warehouse and billing staff should see only the information they need for the next step.
Measure how many cases reach the reviewer with everything needed for a decision. Check the additional questions customers had to answer as well. If a pilot improves internal completeness by making every customer fill out a long form, redesign the questions before expanding the workflow.
Put this into practice
Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
