Escencion field guide: Managed AI Agents

Use AI to Find Recurring Customer Feedback Across Locations

November 05, 2026•2 min read

A regional operator hears that “delivery is getting worse.” Some comments describe late arrivals, others missing instructions, and others difficulty reaching support. An agent can help managers distinguish these problems by grouping feedback around observable events and preserving representative evidence.

Define the unit of feedback

Choose whether you are counting customers, orders, or comments. A customer may post a review, email support, and answer a survey about one incident. When the records can be safely linked, show them as one case with multiple sources. Otherwise, label the result as a count of comments and avoid implying a unique customer count.

A buyer writes, “Driver arrived on time, but nobody told us to clear the loading bay.” Classifying the note only as negative delivery feedback hides the fix. A useful tag would be “missing prearrival instructions,” with an excerpt and the process owner who can act.

Give managers evidence they can inspect

Summarize themes by site and period with the amount of feedback reviewed, source mix, and a few redacted examples. A branch with more sales or more survey invitations can generate more complaints even if its operations are comparable. Let a manager check the context before drawing conclusions or setting priorities.

During a trial, have two people independently classify a sample and discuss where their labels differ. Adjust categories until they point to concrete work such as updating customer instructions or improving dispatch notices. Keep employee scoring and automated personnel decisions outside the scope. The useful output is a list of specific customer problems that an accountable team can investigate.

Put this into practice

Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
