An AI Onboarding Agent for Chasing Missing Client Documents

November 05, 2026•2 min read

A new client sends three attachments and asks, “Are we ready to start?” Someone usually opens the folder, finds the checklist, and writes back. This is a useful job to scope for an onboarding agent when the same few items delay most starts.

Work backward from the first day of service

Ask the delivery lead what they actually need to begin. For a signage installation, that might be approved artwork, a site contact, and an installation address. A signed quote may be essential to the business but already held in another system. Requiring the client to upload it again creates more work.

Make a list with four columns for each item: what qualifies, where it belongs, who can approve it, and whether it blocks the start. Give the agent a way to distinguish “received” from “accepted.” A photo of a location is evidence of receipt. Your installer decides whether it shows the measurements they need.

Write a reminder someone would want to receive

Imagine the client has supplied artwork and an address. The draft should ask only for the site contact and explain why: “Who should our installer call when they arrive?” Put ambiguous attachments into a review queue. One unclear PDF should never trigger a request for the entire packet again.

Pause reminders as soon as someone requests help or an owner changes the requirements. During a pilot, compare the agent’s proposed missing items with what your coordinator actually needed. Count unnecessary reminders alongside the number of jobs ready to start. Bring a blank checklist and a few redacted examples to a scoping call so the proposed agent reflects how your team really works.

Put this into practice

Bring an example of a recurring task. We can map what an agent can prepare, which decisions stay with your team, and what a pilot should measure.
