An AI Agent for Finding the Latest Approved Product Specification
A customer asks for the dimensions of an accessory. Sales finds a product sheet in a shared folder and a slightly different measurement on an old price list. A specification lookup agent can retrieve the approved document and show why it applies, provided your product team has defined how revisions work.
Start with the identifiers buyers actually use
Capture the model, variant, revision, market, and effective date when those change the answer. Include aliases customers use, but show the official identifier before anyone sends a specification. An agent should ask for a missing identifier when two products share a trade name.
Suppose the same accessory ships in two housings, one for older equipment and another for the current model. The agent can present both source references internally and draft a question about the equipment model. Guessing the most recent version could provide a dimension that is accurate for the wrong product.
Put the source next to the answer
A useful response includes the relevant specification value, units, reference document, revision date, and page or section. Preserve approval status and restrict confidential engineering material to authorized readers. A salesperson can use an approved external product sheet even when the supporting engineering document stays internal.
Test with retired products still in service, regional variants, and a sheet that has been replaced since the customer purchased. Ask whether reviewers can trace each answer and whether ambiguity triggers clarification. If staff cannot locate an authoritative approved version for a common product, fix document ownership first. A managed agent becomes valuable once that filing discipline exists and the team repeats these searches often.
Put this into practice
